How Seino collects, uses, and safeguards the personal information you share with us.

Seino Auctions ("we", "us", "our") respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains what information we collect, how we use it, and the choices you have regarding your data when you visit seino.web.id, register as a bidder, participate in an auction, consign property, or subscribe to our communications.

1. Information We Collect

We collect only the information necessary to provide our auction services and communicate with you. This includes:

  • Bidder account information: name, email address, phone number, country of residence, collector profile, and password (hashed) when you register for a Seino bidder account.
  • Identity verification: government-issued ID and proof of address, as required for high-value auction participation and anti-money-laundering (AML) compliance.
  • Bidding history: lots you have bid on, won, or added to your watchlist, along with bid amounts and timestamps.
  • Payment information: billing address and payment confirmation (full payment details are processed securely by our payment provider and never stored on our servers).
  • Consignment information: if you consign property, we collect cellar provenance documentation, valuation notes, and payout details.
  • Communications: messages you send to our client services team.
  • Technical data: IP address, browser type, device information, and pages viewed, collected automatically through standard web analytics.

2. How We Use Your Information

Your information is used exclusively for the following purposes:

  • To verify bidder identity and process registration.
  • To manage your active bids, won lots, and account history.
  • To send transactional emails such as bid confirmations, outbid alerts, auction-ending reminders, won-lot notifications, invoices, authentication & shipping updates, account verification, and password reset links.
  • To respond to your enquiries and provide client services.
  • To send our bi-monthly catalogue, sommelier's picks, and past auction results — only if you have explicitly opted in.
  • To comply with anti-money-laundering, tax, and other legal obligations applicable to auction houses.
  • To maintain the security and integrity of our website and services.

3. Email Communications

Seino sends two distinct categories of email, each from a separate sending infrastructure to ensure reliability:

  • Transactional emails (bid confirmations, outbid alerts, auction-ending reminders, won-lot notifications, invoices, authentication & shipping updates, account verification, password resets, consignor payouts) are sent automatically when you take a specific action or when time-sensitive events occur during an auction. These are essential to the service you requested and cannot be disabled without closing your bidder account.
  • Catalogue & marketing emails (bi-monthly catalogue announcements, sommelier's picks, past auction results, market analysis) are only sent to users who have explicitly opted in during registration or afterwards. You may unsubscribe at any time via the unsubscribe page or by clicking the unsubscribe link in the footer of any catalogue email.

We never sell, rent, or share your email address with third parties for their own marketing purposes.

4. Data Sharing

We do not sell your personal information. We only share data with trusted service providers strictly necessary for operating our service, including:

  • Email delivery providers (for transactional and opt-in catalogue emails).
  • Payment processors (for auction settlements, in IDR and USD).
  • Shipping and logistics partners (for delivery of won lots).
  • Identity verification providers (for AML compliance).
  • Hosting and analytics providers.

These providers are contractually bound to protect your data and use it only for the purpose of providing their service to us.

5. Data Retention

We retain your personal information only for as long as necessary to provide our services and fulfil the purposes described in this policy, or as required by law. Reservation records are typically retained for 24 months; account data is retained until you request its deletion.

6. Your Rights

You have the right to:

  • Access a copy of the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data (subject to legal retention requirements).
  • Withdraw consent for marketing communications at any time.
  • Lodge a complaint with a data protection authority.
